Reception/Administrative Support Specialist

SUMMARY

Sterling International is searching for a dedicated Reception/Administrative Support Specialist to handle customer facing duties as well as general administrative tasks.  The ideal candidate will have excellent interpersonal skills, a friendly/outgoing personality, and a can-do attitude.

ESSENTIAL DUTIES AND RESPONSIBILITIES (other responsibilities may be assigned)

  • Welcomes visitors by greeting them in person, or via phone; will answer and refer inquiries from consumers, customers, vendors, and employees.
  • Determines office supply needs and submits orders.
  • Collects, sorts, distributes, and prepares mail, messages, and deliveries, including USPS, UPS, FedEx, et al.  
  • Maintains postage machine. 
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
  • Daily care for front office and front office breakroom.
  • Assist departments with office filing and special projects.
  • Hand out applications for open positions.
  • Prepare and modify documents including correspondence, reports, drafts, flyers, memos, and emails.
  • Provide administrative support and assist with special projects for the Human Resources Department, including scheduling interviews, creating, and maintaining personnel files, assist with new-hire onboarding process and support the coordination of monthly and annual office/employee events. 

QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) and three to four years of progressive administrative support experience; or equivalent combination of education and experience.

KEY COMPETENCIES: Excellent communication skills-written and verbal, highly organized, ability to prioritize, problem assessment and problem solving, information gathering and information monitoring, attention to detail and accuracy, flexibility, adaptability, and must be able to maintain confidentiality.

LANGUAGE SKILLS: Ability to read and comprehend instructions, correspondence, and memos. Ability to write routine and non-routine reports and correspondence. Ability to effectively present information in one-on-one and group situations.

MATHEMATICAL SKILLS: Ability to calculate figures and amounts.

REASONING ABILITY: Ability to solve practical problems. 

OTHER SKILLS and ABILITIES: Ability to type 50 WPM. Advanced skills with computer to include Microsoft Word, Excel, PowerPoint and Publisher. Operates copy machine, fax machine, scanner, telephone, voice mail, and FedEx. 

PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit and use hands to finger, handle, or feel objects or controls. The employee is occasionally required to stand, walk, reach with hands and arms, and talk or hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision.

WORK ENVIRONMENT

The noise level in the work environment is usually quiet to moderate.
